Solargraf’s new proposal experience: How To’s

1. How to enable the new proposal experience?

  • The capabilities listed below are available only to users who have enabled the ‘Use enhanced proposal format’ toggle. You can change this setting in your user preferences.
  • To enable the enhanced proposal format, navigate to the Users page.
  • Select one of the users you wish to enable this feature for.

  • Toggle on Use enhanced proposal format as seen below.

Note: This toggle provides access to the new proposal experience at the user level.


2. How to ensure the new proposal doesn’t disrupt current set up?

To ensure the new proposal UX doesn't disrupt the current setup, enable the new proposal template toggle at a user level, allowing only those users to see the Proposal templates section and switch between new and old proposals.

Users without the toggle enabled will continue using the old proposal template, maintaining their existing workflow regardless of the default company settings. This approach ensures flexibility for users who opt-in while keeping the workflow unchanged for others.


3. Can I restrict some users from editing proposal templates?

Solargraf offers 2 user level permissions for proposal templates:

  • Can edit proposal templates:
     If this permission has been enabled, the users can view and edit the proposal templates page under the Company Settings.
  • Can edit project proposals:
    If this permission has been enabled, the users are able to make changes to the proposal at a project level.

These permissions may be enabled/disabled as required for a particular User role under Company Settings > Roles & permissions.

  • Go to Company Settings > User's section and click Roles and Permissions.

  • Select the user role for which to make proposal related access changes.

  • Enable/Disable the permissions under the Proposal as needed.


4. How to create a template?

  •  Go to Company Settings > Proposal section and click on Proposal template to open the template settings.

  • The proposal template dashboard has all the templates created by your company users. By default, you will be able to see the old proposal template and a copy of the new template labelled as Recommended. 

  • You can use the Create template button on top right to create a new template for yourself or use the duplicate icon to clone an existing template and make changes to the sections and save it to create a new template.


5. How to customize a template?

  • Navigate to the template section and select either a new template or an existing one.

  • If you're creating a new template, enter a name for it in the designated field.

  • Below the template name, you will see a panel on the left displaying all available sections that you can customize.

  • Click the edit icon or the down arrow beside the section name, depending on your template version to make changes.
  • Choose the language, change titles, section name, description, toggle on and off metrics available in the section according to your needs.

  • Click Save once complete all your changes.
  • You have the ability to make some section level changes using the below icon:

 This enable/disables you to have the section in your PDF version of the proposal.

 This makes the section visible/disappear from all versions of proposal at once.

  • You have the ability to switch between different devices and modes to preview the changes on the proposal.


 6. How do I update language settings and proposal color?

  • Open the webquoteview found at the top right menu:Proposals > Edit Proposal.
  • Click on the settings icon to open the project quote settings.
  • This popup contains customization, signature settings and terms & conditions.

7. How to rearrange sections on a template?

  • Choose and open the template that you want to edit or proposal you want to view.
  • To move and rearrange sections, click and drag the 6 dots next to each section's name. Move the cursor and place the sections as needed.


 8. How to add a custom section to a proposal template?

  • In Project settings, you can only rearrange sections and toggle the PDF and visibility icons.

  • To add a new section, you'll need to do so from Company settings.

  • Go to Company settings, select your template, and click Edit.

  • Click Create section in the top left corner for a new section.

  • Enter a name for the section in the pop-up that appears and click Create to confirm.
  • The newly added section will appear at the top of the section list by default.


9. How to preview a template across devices and modes?

  • Open your proposal or template.
  • In the top menu of the web-quote preview, you’ll find icons for desktop, mobile, tablet, and PDF views. Select and switch between these device types to preview the same proposal across different devices.

  • The template can be switched between light and dark mode. Move the toggle towards the mode you want to enable for your design in the preview pane.

10. How to print a PDF version?

How to print a PDF version from project settings? 

To print or download the PDF version of your proposal, you can use one of these methods:

Method 1:

  • Open the project you want to download or click Edit proposal → Preview → PDF to review any changes and confirm the version you want.

  • Click the Download icon in the top bar.

  • The selected PDF version will then be downloaded. 

Method 2:  

  • Click on the Presentation mode icon located at the top right corner.

  • You can also hover over Proposal at the top, and click Open presentationfromproposal dropdown.

  • Your webquote will open in a full screen mode as it will appear to the homeowner.
  • Click on the Download icon available in this view. 

Method 3:  

  • You can hover over Proposal at the top, and click Download PDF proposal (fromproposal dropdown).

  • Select the PDF version you want to download and click Generate.

  • The chosen PDF version will then be downloaded.

11. How to send the proposal to the Homeowner?

  • Select the template you want to use for this proposal from the template dropdown in the left menu.

  • Choose the respective design and financing option you want to send out to the homeowner as a proposal. 

  • Click the Send button at the top right corner.

  • A window will appear with your quote and customer details.

  • Enter and verify your client name, email, subject line, email body and expiration date for your quote.

  • Click Send to release the proposal to your homeowner.


 12. How to apply a template to an option?

  • Go to web-quote.
  • The chosen option is displayed at the top left corner of the web-quote.
  • If you want to use different templates for different proposal options, switch between the option by clicking on the option. The chosen option (Option 2 in this example) will open up.

  • Go to the template dropdown found under the Edit menu and choose your preferred template from the available options to use for this proposal option.

  • Click Save for the template to be saved to the selected proposal option.


    13. How to navigate through the proposal when I am presenting to the HO?

    • Method 1: Navigate through the proposal by scrolling through it vertically on any device.

    • Method 2: On desktop & tablets, click the down arrow to go section by section.

    • Method 3: Click the hamburger icon to jump to a section of your choice.


    14. How to sign a proposal?

    • Making sure that the signatures have already been set up, and the proposal has been sent to the customer, they may click the Sign and approve button.

    • This will bring up the section where they can e-sign the proposal after selecting the desired design & financial option.

    • Once all the customer signatures are saved, the customer should agree to the Terms & conditions and click the Approve button to confirm the details of the selected option.

    • The user will receive the link to the signed agreement via the Project Overview page under system notifications.

    • They can then click the Sign & approve button on the agreement to sign the proposal on their end.


    15. How to add the correct Terms and Conditions to an option?

    • Map the terms and conditions to the right template on the template customization page using the edit icon found against the Review and sign section on the left panel. 

    • Apply the template to a design option, and the corresponding T&C will apply to the option as well (indicated as Current terms).

    • You can also update the terms at an option level by clicking the Edit icon. Either make changes on the text or select another set of T&C from the drop down provided on the Terms and conditions window.

    • Apply changes when satisfied, to have the updated terms and conditions reflect on the selected option.
